Finance Manager - Job Profile

Main purpose of the job

The principle responsibility of the role is to lead day-to-day financial operations for Yorkshire Dance ensuring efficient and effective company management. This role will be responsible for managing and developing financial systems and will ensure that Yorkshire Dance operates within legal requirements and to best practice in financial management and charity governance.

Position in the organisation
• The post holder/s will report to the Executive Director and will work closely with the core team and the Board of Trustees.
• The post holder will be a member of the management team.
• The post holder will line manager the Administration Assistant.

Duties and key responsibilities

Financial Management
• Ensure the Company has efficient and effective financial control and reporting mechanisms, including budgets, management accounts, statistics and cash flow forecasts.
• Be responsible for all necessary statutory returns including PAYE, VAT, relevant Tax Relief options, Gift Aid, Corporation Tax, Companies House, National Statistics and the Charities Commission and be the main point of contact for these organisations.
• Work with budget holders to review progress against targets and prepare annual budgets with the Executive Director.
• Produce monthly management accounts and other reports.
• Produce Annual Statutory Accounts in conjunction with Auditors and manage that relationship.
• Be responsible for and run the organisation’s bookkeeping and financial management processes.
• Support the Administration Assistant to process purchase and sale invoices, receipts and expenses on Xero; reconcile bank accounts; monitor petty cash and pre-paid card payment and to set up bank payments for your or Executive Director approval.
• Support the Co-Directors with financial reporting to the board, attending quarterly Finance and full board meetings.
• Provide financial aspects of the Trustees Report for the Statutory Accounts, for approval by the board.
• Ensure that appropriate insurance cover is maintained and manage any claims as they arise.

Payroll
• Work with our external payroll organisation, to run monthly payroll and administer the auto-enrolment pension scheme.
• Check entitlement, qualifying status for statutory sick pay, maternity pay, paternity pay and other statutory payments due and keep the external payroll organisation updated.
• Manage monthly deductions, e.g., cycle to work scheme.

Income Generation
• Work with the Operations Manager and Executive Director on the commercial activities of the Yorkshire Dance building, including office and space rental, contracting and rate setting for tenants.
• Support and actively contribute to the wider income generation strategy.

General duties applicable to all Yorkshire Dance contracted staff

The particular duties and responsibilities attached to posts may vary from time to time without changing the general character of the duties of the level of responsibility entailed. All Yorkshire Dance staff are expected to:
• Undertake all activities in compliance with Yorkshire Dance’s policies and procedures with particular reference to equality and health and safety.
• Promote the activities, products and values of Yorkshire Dance.
• To participate in the staff review and development scheme, and undertake continued professional development activities as identified.
• To be a key holder and to lock and unlock the building on departure and arrival as required.

Terms and Conditions
Salary: Full-time equivalent of £33,000 per annum (£26,400 pro rata)
Pension: Where eligible, auto-enrolment in company pension scheme
Period of contract: Permanent
Hours of work: 30 hours per week including evening and weekend work as required (no overtime is payable, but time off in lieu may be given)
Annual Leave: 25 days plus statutory and bank holidays pro-rata.
Probation period: 3 months
Notice period: 2 months
Right to work: The candidate would have to have the right to work in the UK to take up this role.
