Description of the role:

• To meet and greet patients, patients families, members of staff and other visitors ensuring the correct Covid procedures and adhered to. Addressing any questions where possible and providing an overall welcoming experience.

• Access the email system and ensure tasks that are directed to this email are action timely.

• Access the online room booking system and make relevant bookings when requested

• To manage the telephone system, taking incoming calls and directing to the appropriate staff member/department. Where necessary taking messages and forwarding these to staff. Retrieve messages from the answer machine and ensure that these are actioned.

• To deal with incoming mail, producing a daily mail log and ensuring it is circulated effectively.

• Accepting donations and ensuring receipts are given to donors.

• Franking of mail and ensuring mail to taken to the mail box at close of business daily.

• Monitor stationery cupboards and ensure ordering of stocks that are low.

• Ensure the reception area is kept tidy and presentable at all times

• An ability to ‘think on your feet’ ensuring smooth and professional operation of Reception

Skills and qualities needed for the role:

• Volunteers will need to have a good telephone manner, be smart and pleasant

• They will need to show empathy and patience, and have excellent listening skills

• Volunteers must be reliable and flexible

• Previous experience in reception or related administrative role is essential

• Good computer skills are required for this role particularly in Word and Excel.

Practical information:

Volunteers cover 9am – 1pm /1pm – 5pm Monday to Friday, and have a regular day on which they attend. Some volunteers may prefer to work a full day. Full training will be provided. All volunteers will receive an induction into the organisation and the role they will be undertaking.
