Description of the role:

Just ‘B’ services are part of North Yorkshire Hospice Care. Just ’B’ gives children, young people and adults a safe and confidential space to understand, express and cope with their grief. Our service supports children, young people and adults to find a way to manage their grief and embrace a future where they can live and remember that person in a healthy and positive way.
The volunteer administrator provides vital administrative support to the whole team enabling effective provision of a high quality service to clients.

• To process enquiries and, where appropriate, take referrals over the phone. Input referrals (including personal referrals and those from professional agencies such as schools). Producing waiting list letters and other documents for clients.
• To support with necessary admin tasks for the clients, support volunteers and staff. To include setting up new appointments for all support sessions, diary management and communicating session times.
• Maintain and support client records including evaluations, survey monkeys, closing files and archiving records.
• To support with maintaining and updating forms, copying, scanning and ordering resources. To ensure the correct disposal of sensitive, personal documents. Auditing files and data inputting.
• To monitor resources and ensure that stock levels are maintained. General upkeep and tidying of CYP resource area and rooms.
• Dealing with day to day enquiries from clients and volunteers including taking phone calls, managing answerphone messages and monitoring email in boxes
• To work collaboratively with members of the Just B Service, other staff, external professionals and organisations to enable the best possible continuity and support for client.
• To carry out the role in accordance with the law, the Hospice philosophy, and the Hospice policies on equality of opportunity and collective responsibility, and other relevant professional guidelines.

Skills and qualities needed for the role:

• Ability to work both independently and as part of team
• Tact and diplomacy in dealing with a variety of situations including dealing sensitively with clients.
• Confidence in own ability to undertake a role that may be emotionally challenging at times.
• Excellent communication skills both written and verbal.
• Ability to work with a high degree of accuracy and attention to detail using a variety of systems such as Word
and Excel and online platforms.
• Full understanding of and commitment to confidentiality
• Understanding of and commitment to equality of opportunity and diversity procedures

Practical information:

Volunteers would be asked to commit to provide regular administration support but there would be flexibility in the dates and hours we could offer.
There is a large, onsite, free car park.
