Vision Support Harrogate District is a local independent charity providing social, leisure and support services to local people living with sight loss. We have been supporting our sight loss community and their families for 100 years, always developing our services to meet the changing needs of our members.

About us

The Aim of our charity is to provide social and leisure activities and support services that meet the changing needs of its visually impaired members. You would be joining a small team of passionate and enthusiastic staff and volunteers who are dedicated to helping people with sight loss live as full a life as possible. As the administrator you will have a key role in providing the vital admin support the team requires to deliver its busy services.

As the Administrator you will be responsible for and work with the Director to: -

· Deal with the day-to-day administration of the Charity

· Assist the Trustees on all relevant matters to enable it to fulfil its governance responsibilities.


The Administrator will work with the Director and be responsible to the Director for:

Financial administration

Ensure that expenditure is controlled in line with budgets and maintaining appropriate financial records.

· Manage within budgets set out by the Director and Trustees.

· Identify shortfalls or other financial problems

· Identify potential improvements and costs savings

· Liaise with the Society’s accountant on day-to-day matters

· Assist the Director to meet funders reporting requirements

· Providing support to the organisation to discharge its constitutional and legal obligations

Services administration

· Health and Safety issues including, attending relevant training courses, completing risk assessments for daily activities, events etc.

· Providing support to the Ripon and Pateley Bridge Clubs.

· Administrating the Home Visitors weekly rosters

· Liaising with volunteer agencies, posting staff and volunteer adverts, organising interview appointments, obtaining and recording new staff and volunteer records including carrying out and updating DBS checks.


To manage the use and maintenance of the East Parade premises including the flats.

The management of :-

· The general maintenance of building

· Annual checks are undertaken and recorded

· Weekly fire alarm checks and regular fire drills

· Liaising with Flat letting Agent

· Centre room bookings

· Ad hoc social events and trips

Work with the Trustees

· Organise the annual calendar of committee meetings, liaison with the Secretary and Chair on the agenda for meetings

· Circulate the agendas and minutes Committee Meetings

· Collating reports from Visitors, Eye Clinic Liaison Officer, Pateley Bridge and Ripon Club Co-ordinators for circulation with agenda of Committee meetings

· Support to write Annual Report and organise all aspects of the AGM

Other duties

· Handling correspondence.

· Website content and ensuring it is kept up to date.

· Liaison with Harrogate Talking Newspaper regarding the arrangements and record keeping of Christmas Card Sales and Talking Newspaper players.

· Ensuring Charity Log CRM and manual records for our contacts are updated and maintained, in line with GDPR requirements.

· Assist where necessary supporting visually impaired members in the Centre.

Essential Qualities and Skills

The Vision Support team is small, consisting of 5 members of staff who provide vital support services and with some working remotely, and a dedicated team of approximately 35 volunteers who provide leisure and social activities in the Vision Support Centre, so it is important to be able to work well in a small team environment yet be able to work autonomously in order to work to deadlines and achieve successful outcomes.

Formal qualifications are not necessarily required, we are looking for the following key skills, which would include;

· Administrative skills

· Great IT skills

· Great organisational skills

· Willingness to do routine tasks

· The ability to learn quickly and take on tasks outside your skill set

· Interpersonal skills with the confidence to communicate with people from diverse backgrounds.

Part-time hours: 16.5 per week
